Business process automation for SMEs

What repeats every day runs on its own: bookings, documents, emails, invoices and reminders. Two real examples, running today.

We connect automations to the tools you already use, or to the website we build for you. Repetitive steps happen on their own; you keep control of the decisions.

LowcationcarCar rental

lowcationcar.ch

The problem

Renting out a car means checking a driving licence and an ID, copying their details, keeping each vehicle's availability up to date and approving every request. Done by hand, it all starts again with every booking.

What runs on its own

Booking

  • Online booking at any hour, in four guided steps.
  • Each car's availability is shown live, with a calendar in 15-minute slots.
  • The price is calculated automatically from the duration and the payment method, monthly packages included.

Documents

  • The driving licence and the ID are read automatically: one photo is enough, the fields fill themselves in.
  • If the photo is not the right document, the booking stops and the right one is requested again.
  • The contract is signed online.

Monitoring

  • Every new booking is emailed to the team, who approve it.
  • A daily check of document reading sends an alert as soon as one attempt fails within 24 hours.
  • An alert flags accounts left without a booking for more than 7 days.
  • Bookings abandoned before confirmation are deleted after 48 hours, and logs are purged after set periods.

What it changes

No more retyping documents. The team keeps what needs a person: approving a booking, checking a document when automatic reading is not enough.

LocabusVan rental in Moutier

locabus.ch

The problem

Every rental meant manual work: confirming the booking, sending the terms and the invoice, tracking payment, giving access to the vehicle, reading the odometer at pick-up and return, then billing the extra kilometres.

What runs on its own

Booking

  • Online booking and card payment: the Book button goes straight to checkout.
  • The calendar is blocked as soon as the order is placed: no double booking, even for a tool rented as an option.
  • The booking is added to the owner's Google Calendar on its own.

Documents and payment

  • The confirmation is sent with the terms and conditions as a PDF.
  • A PDF invoice is created for every booking, and a paid or unpaid tracking sheet fills itself in.
  • Extra kilometres are calculated from the readings, and their invoice with a Swiss QR-bill is prepared in one command, checked before it is sent.

Pick-up and return

  • For the vehicle fitted with a connected key box, the access code is created and emailed before pick-up; an alert warns when the box battery runs low.
  • The inspection form link arrives by email before pick-up: an odometer photo at departure, photos and mileage at return, from a phone.
  • A reminder is emailed two hours before return. If the return inspection is not done, the customer gets a follow-up, then the owner is alerted.

After the rental

  • The next day, the customer receives a Google review request.
  • Blog articles and Facebook and Instagram posts are scheduled in advance and go live on their own.
  • A weekly PDF report arrives every Monday.

What it changes

Between the order and the customer's review, the owner only steps in where a person is needed: handing over a key in person, changing a date, checking a mileage invoice.

How we automate

  1. What repeats

In a 15-minute video call, you describe the tasks that come back every day or every week.

  2. One process at a time

Each automation is connected to your tools, tested, then switched on.

  3. Alerts

As at Lowcationcar and Locabus, an email warns you when a step fails or waits for a decision.

Does a task eat up your time every week?

Describe it in 15 minutes: we tell you what can run on its own, and at what price.

Frequently asked questions

Do I need to change my tools or my website?

Not necessarily. We start from what you use: at Locabus, the automations are connected to the WordPress and WooCommerce website, to Brevo for emails and to Google Calendar.

Who keeps control of the decisions?

You do. At Lowcationcar, every booking is approved by the team; at Locabus, the extra-mileage invoice is checked before it is sent.

What happens if a step fails?

An email alert goes out. At Lowcationcar, a daily check reports any failed document reading; at Locabus, the owner is alerted when a return inspection has not been done.

How much does an automation cost?

From CHF 1,200 per automated process. You get a written quote within 24 hours, before anything starts.
