What n8n is and why self-hosting changes everything

n8n is a workflow automation platform. The principle is simple: you connect applications together using "nodes" on a visual canvas. When an event happens (a new lead arrives, a payment is confirmed, an email comes in), n8n triggers a series of automatic actions.

The difference with Zapier or Make? Those bill per task or per operation. As soon as your volumes grow, the bill explodes. Self-hosted n8n runs on your own server. You pay for hosting (often 5 to 15 francs per month) and that is it. No operation limits, no surprise invoices.

What you can actually automate

The classic mistake is to think automation is reserved for large organisations. Wrong. Here are real cases we have implemented for Swiss SMEs.

Lead management. A Geneva architecture firm receives an enquiry through its website form. n8n captures the submission, creates a record in the CRM, sends a confirmation email to the prospect, notifies the team on Slack, and adds a follow-up task in 48 hours. All in two seconds, with no human intervention.

E-commerce synchronisation. An online shop in Zurich sells on its own site and on a marketplace. With every order, n8n updates stock everywhere, generates the invoice, and pushes accounting data to the management software. No more phantom stockouts.

Automated marketing reporting. Every Monday morning, n8n pulls figures from Google Analytics, Meta Ads and Google Ads, aggregates them into a Google Sheet, and emails a clean report to the owner. No more spending an hour compiling tables.

How to install self-hosted n8n without being a developer

Good news: you do not need to write a single line of code to get started. There are several paths depending on your technical comfort level.

Option 1 — Managed hosting. Providers like Hostinger, Railway or Hetzner offer n8n installations in a few clicks. You get a ready-to-use instance for around 5 to 10 francs per month. This is what we recommend to most SMEs: simple, reliable, and hostable in Europe.

Option 2 — Docker on a VPS. If you have some technical confidence, a virtual private server (VPS) with a Swiss host like Infomaniak lets you keep your data 100% in Switzerland. Installation via Docker takes about fifteen minutes with a good tutorial.

Option 3 — Delegate to an agency. If you want to focus on your core business, hand the installation and maintenance to a partner. We set up the instance, secure access, configure backups, and build your first flows. You get a turnkey system.

Pitfalls to avoid as a beginner

Automation is powerful, but a few mistakes come up often among SMEs that go it alone.

  • Not securing the instance. An n8n instance exposed without strong authentication is an open door. Always enable authentication and HTTPS.
  • Forgetting backups. Your workflows are valuable work. Configure automatic database backups from day one.
  • Over-automating too fast. Start with one or two flows that save you time every day. Add the rest gradually.
  • Neglecting error handling. Set up notifications when a workflow fails, otherwise you will discover the problem too late.

Is n8n worth it for your SME?

If you regularly perform repetitive tasks across several tools, the answer is almost always yes. The return on investment is fast: a few hours saved each week, human errors eliminated, and an automation bill cut by five or ten times compared with classic cloud solutions.
